What we do with the personal data you share when you enquire about or book an apartment.

Last updated: 10 September 2026

1. Who controls your data

Sweet Florence Limited, trading as Regents Plaza Apartments (company number [company registration number to be confirmed], registered office [registered address to be confirmed]), is the data controller for the personal data described here.

This policy explains how we handle personal data under the UK GDPR and the Data Protection Act 2018.

2. What we collect

This website has no contact form and takes no payments. Personal data reaches us either by email or through the booking pages of our booking provider.

  • Contact details you send us by email: name, email address and anything else you choose to write.
  • Booking details: dates, number of guests, apartment chosen and any requests or accessibility needs you tell us about.
  • Payment information handled by our booking and payment providers — we do not store full card details.
  • Basic technical data from the website, such as pages viewed, used to keep the site working.

3. Why we use it and on what basis

  • To answer enquiries and prepare a quote — because it is in our legitimate interest to respond to you.
  • To manage your booking and your stay — to perform our contract with you.
  • To keep accounting and tax records — to comply with our legal obligations.
  • To handle a best price guarantee claim — to take steps at your request before a contract.

4. Who we share it with

We share the minimum necessary with our booking platform, payment providers, the building reception and cleaning team, and our accountants. We do not sell personal data and we do not share it for advertising.

5. How long we keep it

Enquiries that do not lead to a booking are deleted within 12 months. Booking and financial records are kept for six years, as required for tax purposes.

6. Your rights

  • Ask for a copy of the personal data we hold about you.
  • Ask us to correct anything inaccurate.
  • Ask us to delete data we no longer need to keep.
  • Object to or restrict how we use your data.
  • Complain to the Information Commissioner's Office (ico.org.uk) if you are unhappy with our response.

7. Cookies and security

This website uses only the cookies needed to serve the pages; it does not run advertising or profiling cookies. Our booking provider may set its own cookies on its pages.

Data is held securely and access is limited to the people who need it to run the apartments.
